Transcript Evaluation Specialist

Reports to:

Director, Student Information and Records

Duties and Responsibilities:

The Student Records Transcript Evaluator is responsible for coordinating a comprehensive system of transcript evaluation for students transferring to Durham Tech.  The Student Records Transcript Evaluator determines a student’s eligibility for transferable credit through the examination of external transcripts.  Specific duties for this position include the following:  

  1. Serve as a college expert on information regarding the transferability of external courses and their equivalents at Durham Technical Community College.
  2. Evaluate incoming external transcripts (transcripts originating from other high schools, colleges, and universities, domestic or international) to determine and officially record equivalent transfer credit in accordance with Durham Technical Community College’s, Southern Association of Colleges and Schools’, and Department of Education’s regulations.
  3. Determine if external transcripts originate from accredited high schools, colleges, and universities, domestic or international.
  4. Ensure that transfer credit is quickly, accurately, and completely recorded in the student information system (Colleague) to support degree audit and advising. 
  5. Ensure proper security for Durham Tech’s student educational records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, NC Community College System regulations, and college policies and procedures.
  6. Utilize, re-design, and implement processes to scan, document image, and automate transcript evaluation tasks in Colleague, Durham Tech’s student information system.
  7. Maintain current knowledge and communication with external liaisons at high schools, colleges, and universities to stay up to date on course descriptions, number systems, and other information necessary to provide accurate transcript assessment.
  8. Maintain current knowledge and communication with the curriculum dean, internal program directors, instructional deans, division heads, college advisors, and other college personnel to stay up to date on Durham Tech’s course descriptions, pre-requisites, course number systems, and other advising or course information necessary to provide accurate external transcript assessment.
  9. Participate and maintain current knowledge via on-going professional development for transcript evaluation functions in Colleague and other technical support concerns.
  10. Manage student and advisor electronic, and written correspondence with specific regard to transcript evaluation and transfer credit activities.
  11. Meet with students or advisors who have questions or concerns about transcript evaluation.
  12. Develop and maintain a web-based college manual with specific written procedures on the receipt, evaluation, and recording of external transcripts.
  13. Serve as backup for all other Student Information and Records office functions including, but not limited to printing internal student transcripts as needed, entering and processing graduation applications, and assisting with grades or class rosters.
  14. Provide reception coverage in the Student Information and Records office on a rotating schedule.
  15. Assist with registration and graduation day activities.
  16. Participate as part of the unit’s team in planning and decision making for the Student Information and Records office.
  17. Create and manage databases, spreadsheets, queries, and electronic communication that support the operations of the department.
  18. Create a positive relationship with visitors and ensure the interaction is an efficient and satisfying experience.
  19. Additional duties shall include other appropriate activities as assigned by the Director, Dean, the Vice President, and/or the President.

Required Minimum Qualifications:

  1. Bachelor’s degree in records management, information systems, or other related programs.
  2. Two years of full-time experience working in a setting that includes transcript evaluation, electronic records management, and customer service.
  3. Awareness and sensitivity to the needs and expectations of the community college student.
  4. Experience and high-level proficiency with college student information systems (e.g. Colleague or Banner), Windows, Microsoft Office (Word, Excel, Access, and PowerPoint 2003 or 2007) and basic query language.
  5. Excellent interpersonal skills, organizational skills, attention to detail, effective oral and written correspondence, and public relation skills.
  6. Ability to work with a diverse student population.
Normal Work Hours:

A forty (40) hour workweek established to allow the employee to adequately fulfill the assigned duties and responsibilities including occasional evening or weekend hours as indicated by the needs of the department.
