Procedure

Durham Technical Community College (Durham Tech) operates on a modified schedule during the summer. Public access to College offices is limited to the hours listed for the current Summer Term in the HelpHub section of the College’s website.

The College understands and respects that student or employee support areas may need to extend service beyond these hours. For example, the Center for Academic Excellence may need to provide evening tutoring hours for a specific set of classes. Employees in support areas should consult with their department and division head to determine how to appropriately incorporate summer hours into their area’s operations.

Summer hours begin on the first day of Summer Term classes and continue through the last day of Summer Term classes. The College resumes its normal schedule on the following Monday. Human Resources will notify employees of the specific dates via College-wide email approximately two weeks prior to the commencement of summer hours. Employees may also refer to the Academic Calendar for specific dates.

Employee Schedules

Twelve-month full-time employees may request one of the following workweek options during the summer:

  • Summer Workweek Option #1 – Employees may request to work four nine-hour workdays Monday through Thursday and one four-hour workday on Fridays;
     
  • Summer Workweek Option #2 – Employees may request to work four ten-hour workdays Monday through Thursday; or
     
  • Summer Workweek Option #3 – Employees may request to work five eight-hour days Monday through Friday (a normal workweek schedule). 
     

Employees must gain approval for one of these three options from their respective supervisor for the entire summer period. Any modifications to these options must be approved by the supervisor as well as the division head. 

Supervisors will consider requests as they relate to the quality of work and service needs. All offices are expected to have adequate coverage to operate during the hours listed in the HelpHub section of the College’s website.

Employees approved for any option should not attempt to work the full number of hours without a lunch or other break. Employees should take a break of at least thirty minutes per day as part of their workweek schedule.

Employees retain their right to request leave as needed to fulfill the forty hours of work required.

Holidays

Employees receive eight hours of leave for a holiday regardless of the work option selected. Those who do not plan to take additional leave during the two workweeks that include a holiday (Memorial Day and Independence Day) should adjust their work schedule to work a total of thirty-two hours during each of those two weeks.

Professional Development Days

The Service Professional Development Day falls on the third Friday of the Summer Term (refer to the Professional Development policy for details). All twelve-month employees are expected to participate and work an eight-hour day on that date. As such, employees should adjust their work schedule for that week accordingly.

Requesting and Reporting Leave

Employees must submit leave requests and reports based on their summer schedule.

Under Option #1, if an employee takes leave on any Monday – Thursday during the Summer Term, the employee will take nine hours of leave for each day. If an employee takes leave on any Friday, the employee will take four hours of leave for that day.

Under Option #2, if an employee takes leave on any Monday – Thursday during the Summer Term, the employee will take ten hours of leave for each day. The employee will not be required to take leave for Fridays as the employee is not scheduled to work on that day.

Under Option #3, employees will take leave as they would for any other semester or term.

Human Resources will notify employees of specific term and holiday dates via College-wide email approximately two weeks prior to the commencement of summer hours and will provide examples of how to report leave.

Definition

Full-Time Employees – College employees who work at least thirty (30) hours per week. Fulltime employees who work thirty (30) to thirty-nine (39) hours per week earn leave on a prorated basis; all other benefits are the same for all full-time employees regardless of time worked each week.
